How to Transcribe a Meeting (and Actually Use the Notes)
A meeting transcript that nobody opens is just storage. This guide covers the short path from a clean recording to speaker-labeled text, action items, and a summary you can paste into Slack — without spending another hour cleaning punctuation.
Before the meeting: 3 setup rules
- One mic per speaker if you can. Even a cheap USB mic beats a laptop far-field array across a conference table.
- Say names at the start. Diarization is better when speakers self-identify once. “This is Sam, I’ll take the billing flow.”
- Record locally when policy allows. Cloud meeting bots are fine for internal standups; client or regulated meetings may require a local recording and a signed DPA.
The 4-step loop after the call
- Upload the recording. WAV or M4A from a recorder is ideal; Zoom/Teams exports work too. Trim dead air at the start if the file is long.
- Turn on speaker labels. Rename Speaker 1/2 to real names in the job view before you export. This is the highest-leverage 60 seconds of the whole workflow.
- Pull action items, not paragraphs. Search for “will”, “by Friday”, “owner”, and names. Copy those lines into your tracker — leave the rest as archive.
- Ship a short summary. Three bullets: decision, owner, deadline. Paste that into the channel. Link the full transcript for anyone who needs the tape.
What to do with noisy conference rooms
If the recording is already done and it is rough, still transcribe — then budget human cleanup on the action items only. Do not polish the whole hour if you only need five decisions. Glossaries help for product names and acronyms.
